To ensure that the first contact and impressions of the Cities Network at reception
is a professional one and to offer administrative support to professional staff
so as to enable them to carry out their work efficiently and effectively.
Duties and responsibilities:
Receive and host visitors. Make tea for meetings (organise biscuits, lunch
if necessary)
Receive deliveries, answer calls , diver calls to staff , and taking and
delivering messages
Post outgoing mail, collect and distribute incoming mail
Organise couriers to collect packages ,circulate documents within office
Maintain filing system and file documents
Copy, bind and fax documents
Typing and editing letters and other documents as requested
Get quotes for capital purchases , order maintenance services when required
Arrange outings when required
Make travel arrangements for professional staff
Enter new records, correct and delete old ones
Assist with coordinating workshops and conferences when required
Develop & maintain reporting formats
Assist with ensuring all maintenance contracts for office equipment are
adequate & current
Coordinate the efficient & safe maintenance and repair of the office,
including :fittings & fixtures, plumbing, electricity, alarm system etc.
Ensure provision and control of keys
Make arrangements for the cleaning of office
Reconcile creditors statements to invoices and initiate payment process
Ensure all creditors invoices are VAT compliant
Assist with Debt collection and manage petty cash float
Manage requests for order numbers
Manage stationery inventory and maintain good stock levels
Assist with preparing audit documentation for yearly audits
Other duties:
To carry out any other duties appropriate to the position, which may be
allocated from time to time
Requirements:
Grade 12 or equivalent
A Tertiary qualification will be an advantage
Minimum one year relevant experience
Professionally presented
Multitasking skills
Able to take initiative
Ability to work and manage deadlines
Must be a team player
Proficiency in MS Word, Excel, PowerPoint, Outlook
Excellent communication skills
Valid drivers license

Job title: Knowledge Management Officer
Summary of main responsibilities:
The main objective of the Knowledge Management Officer is to enhance knowledge
management within the organization and its stakeholders so as to consolidate
the knowledge that exists within South African cities and implement strategies
for improvements where required.
This includes creating an understanding of the context of the knowledge economy
in order to enhance knowledge sharing and innovation. Some research will be
required to develop some knowledge products that will facilitate and enhance
knowledge sharing between our stakeholders. The KMO will also be responsible
for communications and branding of the SACN as a knowledge organisation.
Duties and responsibilities:
Conduct research on the knowledge economy and how it can be enhanced
Enhance the SACN knowledge management strategy
Develop an information storage and retrieval system
Establish and facilitate some innovation discussion sessions as agreed
to by the secretariat
Facilitate the SACN seminar series informed by strategic challenges faced
by South African cities
Prepare background materials for various discussion forums including mainly
SACN reference group meetings and seminars
Disseminate outcomes of discussion forums to cities and other interested
parties through the internet and other innovative means
Conduct some research on local and international best practices as agreed
upon by the secretariat
Monitor and manage the content of the SACN website including regular updates
Facilitate the marketing, advertising, branding and communication plan
of the SACN
Carry out any other duties appropriate to the position, which may be allocated
from time to time
Requirements:
Previous experience in knowledge management preferably in a developmental
organisation
Relevant Degree
Excellent communication skills
Results orientated
Able to work under pressure
Good interpersonal skills
Extensive computer literacy
